The CVCDA Administrative Assistant/Receptionist under the direction and supervision of the Administration Program Lead performs receptionist/administrative duties and provides office support for multiple staff in a variety of Child Development disciplines, ensuring efficient operation of CVCDA offices.

CORE RESPONSIBILITIES

A. General Administration

As one of the first people CVCDA clients/staff will interact with daily; the administrative position requires a person with a friendly and patient disposition. All duties and activities will be performed in an efficient, timely manner and are not exclusive of but include:

  1. Performs administrative support functions for program departments
  2. Reception duties including greeting visitors, answer telephones, take messages, provide information in
    response to general inquiries or guiding the questioner to the appropriate person
  3. Data entry, confidential file management, agency documents/procedures, records/reports creation, scanning, photocopying, daily mail/email/fax and assisting staff as users
  4. Managing the purchasing and inventory of admin and program supplies
  5. Accept payments/issue receipts/do bank deposits for donations, service fee payments, workshops etc.
  6. Participating on committees as required, taking minutes for meetings as requested
  7. Assisting in the organization/implementation of agency events/team event/staff development planning
  8. Provide communications and media content/support/promotion for agency, programs, workshops, events and fundraising
  9. Coordinate the appearance and content of all print and electronic materials such as, brochures, program handbooks, annual reports, posters, advertisements, web site, and press releases, and in all CVCDA events.
B. Fundraising Support
  1. Provides support for the Annual Children’s Telethon held each November
  2. Oversees the online auction process including obtaining and cataloguing the auction donations on the website and integrated donor and auction databases (Keela, 32auctions, Raffle Nexus)
  3. Provides support in coordinating agency media relations including the writing of press releases, supporting
    staff and spokespeople with media and appearances
  4. Manage CVCDA’s image and visual identity (logo’s) for internal and external use
C. Accreditation

1. As directed, assist the Administration Program Lead, Director of Programs and Director of Operations in activities related to the agency’s CARF Accreditation process

D. Security
  1. Activate new employees access codes as well as cancel access for terminated employees
  2. Update Security tracking with new information (keys and codes)
  3. Train new staff on using the alarm system
E. Other
  1. Other duties as assigned

Qualifications

1. Required Education and Experience

Minimum Grade 12 and recent related experience of 3 years or longer. Secondary Administrative related education preferred. An equivalent combination of education, training and experience will be considered.

2. Essential Skills and Attributes
  • Excellent verbal and written communications, interpersonal skills, listening and customer
    service skills

  • Professional appearance (i.e., personal appearance and attitude)

  • Ability to work effectively with and relate to people of diverse cultures and backgrounds

  • Comfortable with approaching and interacting with current and prospective donors

  • Organizational skills with the ability to set priorities and meet specific time-sensitive deadlines

  • Extensive computer and software skills Microsoft office suite, electronic client records database, Canva, InDesign, Photoshop, and Illustrator

  • Experience with event coordination

  • Proficiency in social media and web applications

  • Knowledge of office equipment such as photocopier, faxing, multi-line telephone, postage machine

  • Ability to work independently and collaboratively as a part of a team

  • Vehicle that meets ICBC annual inspection standards, and valid Driver’s License

  • Physical ability to carry out the duties of the position
